If you are not yet using a billing firm such as SMSWinmars, then it is safe to assume that you are currently doing your own processing! But, are you doing your work cost efficiently? We guess that the answer to that lies in your past experience with your current administrator. Are they prompt in getting back to you? Are they professional? How many of your accounts are in collection and of those, how many do you expect will not be chased by your administrator? Are they flexible in their policies or do they make you feel as though you must always follow procedure? Do they pay you on time? How many times per month do you get paid? 4) Must our school use a SMSWinmars contract?
Absolutely not! However, our contracts have been proven in the field, and may even be an improvement over your own binding agreements. While we prefer to use our own contracts, we will use yours if that is your desire. We leave the choice up to you. We must advise you though that should any accounts become delinquent and SMSWinmars must use our resources to collect upon them, that our ability will be limited or enhanced by the wording in the contract the student/parent signed. Ours is extremely strong and allows us the flexibility to do our job in an efficient manner. Top
5) Must I use a contract in order to work with SMSWinmars?
NO! The reason we suggest the use of a contract however is because of the fact that when we each agree to work with one another, SMSWinmars has made a commitment to be the best administrator out there. If your students are on a month to month payment cycle, how can we effectively pledge to increase your receivables and minimize your collection needs?
The use of a contract provides SMSWinmars the ability to use the letter of the law to represent you in our extensive efforts to collect your funds. Naturally, while we do not begin collection efforts without your pre-authorization when you sign on with SMSWinmars, we rely on the strength of a contract to justify our existence to you, our client!
Some billing firms take the position that contracts are out, and only Electronic Funds Transfers are in. We disagree! EFT's, while most likely the best billing method, do not protect your client base in our opinion or lock in your students. Certainly there will be occasions when you may choose to waive the terms of your contracts and we will comply. However, that is your choice and not your students'. After all, who sets your budgets? You...or your students? Who pays your rent? Whose neck is on the line if your school is unsuccessful? YOURS! And contracts help to protect the progress you have made! Contracts have been around since our country was established and will continue to be around long after we are all gone! But, do werequire the use of contracts? Again, No. Top
6) What is the minimum number of enrollment contracts needed to begin?
Our philosophy is that we must prove our worthiness to you before expecting you to simply take our word that we are the best billing service on the street. Therefore, we will begin a relationship with as few as "ONE" contract! We believe that after trying us out, that you will quickly shift your entire enrollment roster to WinMars. We know we are very good at what we do, but you don't! So...try us and make a decision for yourself. We think that you will agree that WinMars truly does have the "Best of Both World's" when it comes to understanding the Martial Arts community, and the Financial Needs as well!. Top
7) What happens if I do not want a particular student who is late to be chased for payment?
No problem! After all, our policy is to first contact the school owner before any collection is begun! We understand that sometimes people are simply late and that the owner has provided some leeway in its collection process. We are an extension of the school owner and will adopt whatever practice you have set. We do however, make suggestions along the way to help our clients grow by increasing their membership. When you initially sign on with WinMars, you are requested to write your collection desires down and give them to us. That authorization then becomes our guide. Yet, you can change the rules at any time by simply writing new instructions. You are in control! Top
8) What are my start up costs if I choose to participate?
Absolutely nothing! How's that for an answer? Short and sweet! Others may charge you for contract supplies or may even assess you a fee if your membership falls below a certain monthly amount. We are different because we are on your team and want to see you grow…not restrict you from growing or punish you if times are tough. Top
9) What happens to late charges?
We split them with your school 50%! Some services keep the entire fee. We feel that you are entitled to a fee since your funds are also held up by the student. When we collect, you should be paid! Top
10) What is the initial length of my agreement with SMSWinmars?
We work with one year contracts which renew automatically unless we are notified in writing at least 60 days prior to the time the contract renews. As each renewal arrives, your contract with us renews for one year periods automatically. You need not re-sign each and every year. Top
11) Do you offer online access?
Yes. SMSWinmars provides 24/7 real time access so essentially, what we see...you see. The best part is that it is free, just for the asking. Top
12) How late are your offices open?
Good question! SMSWinmars is actually open until midnight EST, each and every night. However, regular staff leaves daily at 6:00 pm EST. After that, only collection n staff is on hand, although they almost exclusively are making outgoing calls only in attempts to collect on any delinquent accounts. Top
13) Does SMSWinmars contact our school each time an account goes to collections?
Unfortunately, no! A school contracts with SMSWinmars to do a job and we strive to do that job as efficiently as possible. After years of working in the billing and collection industry, we know what to do when it comes to making every attempt to retrieve your funds. If we were to contact a school each and every time an account went to collections, and multiplied that by the sheer number of schools we have, we would not be able to get our job done at the low rate we charge.
